This policy explains how NearMeTutor collects, uses, shares and protects your personal data, and the rights you have over it. NearMeTutor is an advertising directory that connects parents and students with independent tutors across the UK. We are the data controller for the personal data described below.

1. Who we are

NearMeTutor ("we", "us") operates the website at nearmetutor.co.uk. We are registered with the UK Information Commissioner's Office (ICO). For any privacy question, contact info@nearmetutor.co.uk.

2. The data we collect

  • Enquiry & matching data — when you submit a contact, quote or matching form: your name, email, phone number, the student's year group and study level, the subjects and help required, your location, and any details you choose to add.
  • Tutor application data — if you apply to list as a tutor: your identity details, qualifications, and DBS certificate information (handled as described in our Safeguarding Policy).
  • Purchase data — if you buy a revision pack, payment is processed by our payment provider (Stripe). We do not store your full card details.
  • Technical data — basic, privacy-preserving analytics (self-hosted, cookieless) and standard server logs. We do not use advertising or cross-site tracking cookies.

3. How and why we use your data

  • To match your enquiry with suitable independent tutors and, where relevant, to refer your enquiry to tutoring partners who can fulfil your request.
  • To respond to your messages and provide the service you asked for.
  • To verify tutors before they are listed (see our Safeguarding Policy).
  • To process and deliver any revision packs you purchase.
  • To maintain the security of, and improve, the website.

Our lawful bases are: consent (when you submit an enquiry asking to be matched), performance of a contract (for purchases and tutor listings), and legitimate interests (running and securing the service).

4. Who we share it with

To fulfil a matching request, we share the relevant details of your enquiry with independent tutors and tutoring partners who can help. We also use trusted service providers (for example, our email delivery and payment providers) who process data on our behalf under contract. We do not sell your personal data, and we do not share it for third-party advertising.

5. Children's data

Enquiries are made by a parent or guardian, who provides information about the student. We ask that only a parent, guardian or adult student submits a form. We collect the minimum information needed to arrange suitable tutoring and never market directly to children. Safeguarding concerns are handled under our Safeguarding Policy.

6. How long we keep it

We keep enquiry data only as long as needed to provide the service and for a reasonable period afterwards for our records, then delete or anonymise it. DBS certificates supplied by tutors are deleted within seven days of verification; only proof-of-check metadata is retained. Purchase records are kept as required for accounting and tax purposes.

7. Your rights

Under UK GDPR you have the right to access, correct, delete or restrict the use of your personal data, to object to certain processing, to data portability, and to withdraw consent at any time. To exercise any right, email info@nearmetutor.co.uk. You also have the right to complain to the ICO at ico.org.uk/concerns, though we'd ask you to contact us first so we can put things right.

8. Cookies & analytics

We use a self-hosted, cookieless analytics tool to understand how the site is used. It does not set tracking cookies or build advertising profiles. Any strictly necessary cookies used to operate the site are exempt from consent under the regulations.

9. Security & international transfers

We use appropriate technical and organisational measures to protect your data. Where a service provider processes data outside the UK, we ensure an adequate level of protection through approved safeguards.

10. Changes to this policy

We may update this policy from time to time. The "last updated" date above shows when it last changed.
